AI or a human
answering service?

A human answering service uses trained people to take your calls, typically priced per call or per minute. AI answering picks up every call at any hour for a flat cost. Humans handle nuance better; software handles volume, availability and price better. The right answer depends on your call mix.

What is actually different?

Both exist to solve the same problem: the phone rings while you are working, and an unanswered call is a lost job. They solve it very differently.

A human service gives you judgement. Someone who can tell an emergency from an enquiry, calm an upset customer, and recognise the client who has been with you for ten years.

AI answering gives you availability and economics. It answers at three in the morning, on Christmas Day, and on the twelfth simultaneous call, and the cost does not scale with how busy you get.

For most trades and appointment businesses, the majority of calls are routine — a booking, an availability question, a quote request. That is exactly where software is strong, and exactly where paying a person per call gets expensive.

Where a human answering service is the better choice

  • Judgement on calls that need it. Distress, ambiguity, negotiation, or a caller who needs to feel heard rather than processed.
  • Businesses where every call is high value and low volume, so paying per call is cheap and getting it wrong is expensive.
  • Complex triage across multiple departments or bespoke scripts, which people adapt to more readily.
  • Some customers simply prefer a person, and in a reputation business that preference is worth money.

So which should you pick?

Choose a human service if calls are few, valuable and often complicated.

Choose AI answering if calls are frequent, mostly routine, and arrive at hours when nobody is at a desk — which describes most trades, salons and clinics.

COMMON QUESTIONS

Questions people ask.

What happens to calls AI cannot handle?

It takes the details and hands them to you rather than improvising. A missed nuance is recoverable; an invented answer is not.

Is a missed-call text really enough?

Often, yes. The customer standing with a burst pipe is working down a list — being the one who replies within seconds is frequently what wins the job, even if you call back later.

Can I try it without changing my number?

Yes. Forward your existing line, or take a new number and forward it. Nothing about your published number has to change.

Can it actually book appointments, or just take messages?

It books. It reads your real diary, offers times that are free, and puts the appointment in, so the customer hangs up with a slot rather than a promise of a callback. Message-taking is the fallback for calls that need you, not the default.
