What does reconciliation actually involve?

Reconciling means proving that every line on your bank statement is accounted for in your books, and that every entry in your books actually happened. It is the check that makes the rest of the accounts trustworthy.

Done manually it is a weekly hour of matching a payment to an invoice, deciding what an unexplained card transaction was, and hoping you remember. Done by software it happens overnight, and you see only the handful of items that genuinely need a person.

How does the matching work?

    The feed arrives

    Transactions come in through regulated Open Banking, a connection you grant and can revoke, refreshed daily.

    Obvious matches are made

    Amount, date and reference against invoices raised and bills recorded. Most transactions match on the first pass without any input.

    Documents are pulled in

    Receipts photographed or forwarded, and supplier invoices from your inbox, are attached to the transaction they belong to.

    Rules fire before the AI does

    Anything you have answered before is applied automatically. The rule you set in March is still working in November.

    The remainder is a short list

    What is left is genuinely ambiguous, and it is presented as a question with a one-tap answer rather than a spreadsheet to work through.

Why daily matters more than accurate-eventually

A transaction is easiest to explain on the day it happened and hardest to explain nine months later. Reconciling daily is not about neatness — it is about asking you while you can still remember.

It also changes what the numbers are for. Books reconciled to yesterday can tell you whether to take the job, buy the van or worry about February. Books reconciled annually can only tell you what already happened.

Is the bank connection safe?

It uses regulated Open Banking, which is read-only: it can see transactions and cannot move money. You grant it, and you can revoke it from your bank at any time without contacting us.

What if it matches something wrongly?

Unmatch it and correct it. Every automated action is logged with its reasoning and reverses with a proper reversing entry rather than a quiet edit, which is what keeps the audit trail honest.

Does it work with my bank?

Most UK business accounts are supported through Open Banking. Where a feed is not available, statements can be imported, though you lose the daily rhythm that makes the rest of it work.

Does it work with more than one bank account?

Yes. Connect each account, including savings and credit cards, and transfers between them are recognised as transfers rather than posted as income on one side and a cost on the other.
