Why the return stops being a project

The reason a VAT return takes a weekend is almost never the return. It is the three months of unreconciled transactions behind it, which have to be sorted out before the nine boxes can be filled.

When the bank feed is reconciled daily and receipts are attached as they arrive, the quarter is already complete on the day it ends. What remains is checking the unusual items and pressing submit.

The parts that catch people out

  • Fuel and vehicle costs, where recovery is often partial and the rules are fiddly.
  • Entertainment, where the VAT is generally not recoverable at all.
  • Purchases with mixed business and private use, which need apportioning rather than claiming in full.
  • The scheme you are on — cash accounting, flat rate and standard produce different figures from the same transactions.
  • Pre-registration VAT, which can often be reclaimed and frequently is not.

Which VAT schemes are supported?

Standard and cash accounting are the common cases and both are handled. Flat rate has its own arithmetic — worth confirming the treatment for your percentage before your first return.

Can I still file if my books are behind?

You can file whatever the software holds, but a return built on incomplete records is a correction waiting to happen. Reconcile first; it is usually faster than fixing it afterwards.

What if I need to correct a previous return?

Small errors within the correction threshold can generally be adjusted on the next return; larger ones need separate disclosure to HMRC. Telling them before they ask is treated very differently.

Will it tell me when the return is due?

Yes. Quarter end and the filing deadline sit in the diary with everything else, and the return is flagged for review once the period is reconciled. Your accountant can check it from their own free login before anything is submitted.
