Filed on arrival,
found in seconds.

Automatic document filing reads paperwork as it arrives — by email, photo or forward — works out what it is and who it belongs to, and files it against the right customer, job or transaction, so finding it later is a search rather than an excavation.

Filing is not the problem. Finding is.

Nobody minds filing a document. What costs time is the day, two years later, when a customer disputes something and the evidence is somewhere in an inbox, a phone, a folder or a van.

Filing at the moment of arrival is the only version that works, because it is the only moment when the context is obvious.

What gets filed automatically

  • Supplier invoices and receipts, against the transaction that paid them.
  • Certificates and compliance documents, against the property or job they cover.
  • Signed quotes and acceptances, against the job they authorise.
  • Call transcripts and messages, against the customer they involve.
  • Insurance, licences and renewals, with their expiry dates tracked.

Why it matters beyond tidiness

HMRC expects records kept for years after the return they support, and an enquiry asks for specific documents rather than a general impression of organisation.

The same is true of disputes, warranty claims and scheme assessments. In each case the question is not whether you kept it but whether you can produce it, and those are very different things.

COMMON QUESTIONS

Questions people ask.

What formats can it read?

Photographs, PDFs and emailed documents. Where extraction is uncertain it asks rather than guessing, because a confidently mis-filed document is worse than an unfiled one.

Can I still organise things myself?

Yes. Automatic filing is a default rather than a cage — you can move, retag and add documents by hand whenever the automatic answer is not the one you want.

What happens if I leave?

Export everything in standard formats, documents included. Records outlive subscriptions, and any product that makes that difficult is telling you something.

Does it remind me before a certificate expires?

Yes. Insurance, licences and certificates carry their expiry dates, and a renewal appears as a task ahead of the date rather than as a discovery on site. How far ahead is yours to set.
