Late invoicing causes late payment

The most common reason an invoice is paid slowly is that it was sent slowly. An invoice raised three weeks after the work is not just three weeks late — it arrives when the job is no longer fresh and the goodwill has cooled.

Sending from the job, on the day, moves the whole payment cycle forward by however long you currently take to get round to it.

What a UK invoice has to contain

  • A unique, sequential invoice number — gaps invite questions later.
  • Your business name and address, and the customer's.
  • The date of issue and the supply date if different.
  • A clear description of what was supplied.
  • The amount due, the payment due date, and how to pay.
  • If VAT registered: your VAT number, the rate, and the VAT amount as a separate line.

Getting paid, not just invoiced

A payment link on the invoice removes the gap between deciding to pay and paying. Bank details in a PDF require the customer to open banking, type an account number and reference it correctly — three chances to postpone.

Payments then reconcile against the invoice automatically, so what is outstanding is a fact rather than something you work out.

Yes, and that is the point. An invoice raised in the van when the customer signs off is the one that gets paid quickly.

What if I need to credit an invoice?

Raise a credit note rather than deleting or editing the original. Editing an issued invoice breaks the audit trail and is exactly what an enquiry looks for.

Can I set my own payment terms?

Yes, per customer if you want. Terms agreed before the work starts and printed on the invoice prevent most disputes about when payment was due.

Does it handle recurring invoices?

Yes. Set the schedule once for a retainer or a maintenance contract and the invoice goes out on the day, with the payment link, without anyone remembering. Chasing then applies to it like any other.
